In AutoCount HRMS, users can key in their own number of employees (headcount), and the system will instantly display the estimated price based on the selected plan. This function makes it easier for companies to budget and compare subscription costs according to their needs.

How to Start HRMS


Step 1.1: How to register

1.1.1 Register your payroll account through email.

Note: Please use email to register carefully as subsequent monthly/yearly billing will issue to this registered email. Email registered will be consider as owner/admin


1.1.2  After register successful, please navigate to your mailbox to confirm the email to activate Cloud Payroll account.


1.1.3  After login to account, System will request you to create your subscription.


Step 1.2: How to subscribe

1.2.1 Select your plan and insert headcounts needed.

Plan 

For Premium plan, it provide payroll, e-leave, e-claim, and e-attendance function. The charge is calculated by months and based on headcounts.


For Express plan, it only provide payroll function. The charge is calculated by year and based on the minimum required purchase for headcounts (30, 70, 120,....)


For Accountant plan, it only provide payroll function. The charge is calculated by year and based on the minimum required purchase for headcounts (300, 450, 600,....)


1.2.2 Fill in your billing party for subscription payment, company name, registration number, payroll year.


1.2.3 Confirm your plan and company details. Click on the payment confirmation.



Step 2.1: First time set up

2.1.1 Fill in all your company profile information.


2.1.2 Here you may create company bank account. (Can be more than one) which will be use to generate bulk payment for employee salaries after process payroll.


2.1.3 Maintain your company allowances.


2.1.4 Maintain your company deductions.

This is one of the example for lateness formula, this section is available in Deduction. Note: Only Premium package able to adjust/customize formula manually.


2.1.5 Set up your company calendar. You may setup company rest days in this section. Note: If Saturday half day shift, you may set the Day Type to PM as this means rest day will be in evening hour.


2.1.6  In this section, you may download Excel template to import Employee or you may create Employee manually afterwards


2.1.7 First time setup is complete and now you can run payroll process.


Step 2.2: How to create employee manually

2.2.1 To create Employee manually, go to Payroll > Employee Maintenance.


2.2.2 Fill in all the information of the employee. Please enable selection for E-Attendance if this employee will use Time Attendance feature in AC Payroll (Mobile App). Remember to click the save button.


2.2.3 Please access to Administration > Add User to invite employees to use Cloud Payroll via Email. Key in employees' email address > Assign which Employee.


2.2.4 In Create New section, key in employees' email address > Assign which employee > Assign password for them (They may reset via Forgot Password in login screen of Cloud Payroll).


2.2.5 Then, the user shall receive email as above, then they may login to Cloud Payroll with preset password.

Note: User can reset password by click Forgot password at Login screen of Cloud Payroll.


Step 3.1: How to process payroll

3.1.1 Click on the process payroll under payroll management.


3.1.2 Click the new payroll process on the top right.


3.1.3 Select the payroll type, period and employee. Click on next button.


3.1.4 System will show the details here and you can still edit some details here. Next, click on process button.


3.1.5 System will show the payroll is created successfully.


3.1.6 You can double check for the details here and still can edit the amount by double click it. If you have do any changes, you need to click on the recalculate below the employee.


3.1.7 You can also view all the draft report here. Then, click on the commit all button and the payroll process is successful.



Step 3.2: How to process electronic payment

3.2.1 Click on the electronic payment under tools.


3.2.2 Choose the bank account on the bank payment files and click the download button. Next, upload the file to related bank to process the payment. 

Note: For the tax (EPF,SOCSO,...), you can also download the files under monthly government files and pay it through the related government website.



Step 3.3: How to view reports

3.3.1 Click the reports on the bar left side.


3.3.2 Select the reports you want and tick the information needed. Click the preview or download button. You can also customize the report.
